Make good notes so you can remember most of what each company said at a later date. Otherwise you'll be doing what I did, "Now what was the name of that wedding catering company?" and, "How much did they say it would cost?"
Give them the list of everything you want over the phone or in person. Ask them to tell you about the possibilities. The more questions you ask, and that they ask back, the more you will earn what they can offer. And how willing are they to work with you on your terms, not with their square box, where door number one is this and it costs so much? That's impersonal and not what a wedding is all about.
Talk about the money. Don't waste your time with anyone until you have a price range for everything you're asking them about. Keep the conversation short and ask for pricing. Then, if they have decent pricing, you can get into more detail at a later time. Sure, price may vary a little bit but by my experience not much. And make sure you find out a hidden details or charges.
The what if's. How about if they don't have something you want? Do they know someone they will introduce you to that does? This is a big problem. Even though you may be trying to get the Best Price, having to call and keep up with every company and detail on your own will complicate things. Having companies that know each other and that have worked together before simplifies the process, especially on the wedding day.
Meet the wedding catering service in person. Nothing tells you more than shaking someone's hand and having a conversation face to face. You'll know almost instantly whether they are right one. If this isn't possible, look for testimonials or ask for references who you can speak with.
Get a contract. Most wedding catering companies, especially the smaller ones, don't have contracts. It's to your advantage to keep them to their word if and when some problem occurs. While you are important to them, they do have to keep up with a lot of event. This means, mistakes happen. The contract will quickly clarify an issue so that you can move forward.
